From cleaning jobs to Xero invoices: a practical NZ workflow

Updated

The calendar tells you what your team did. Your accounts need to show what each client owes. A dependable invoicing routine connects the two without rebuilding the week from messages and spreadsheets.

Give each system a clear job

JobNest is where a cleaning business plans visits, assigns teams and creates invoices from the jobs on its calendar. Xero remains the accounting system. Keeping that distinction clear makes it easier to check what happened at a property before sending a bill, while keeping bookkeeping in Xero.

The JobNest connection to Xero starts on Growth. The free Starter plan includes basic invoicing, but not Xero integration. Check the current plan comparison before switching.

Check the week before creating invoices

Whether you invoice each clean or bill several visits together, review the source jobs first. A short check can catch the exceptions that cause most manual rework:

  • Confirm which visits actually belong on this invoice and their dates.
  • Check the client, service description and agreed price for each visit.
  • Check how GST should appear for your business and on the invoice.
  • Confirm the recipient and due date before you send.
  • Keep any changed or cancelled visit out of the wrong billing batch.

JobNest lets you create invoices from jobs, including a batch of the week's visits, and review them before sending. The invoices include NZ GST handling. Your accountant should advise on your business's own GST obligations.

Move from the calendar to Xero

  1. Choose the jobs you want to bill in JobNest and review their invoice details.
  2. Create the invoices and send each client their own invoice by email.
  3. On a connected Growth or higher plan, send the invoices to Xero.
  4. Review payments and your books in Xero as part of your normal accounting routine.

Business and Enterprise include additional two-way payment sync. That does not turn JobNest into payroll or replace the checks you make in Xero. The how it works videos show invoices being created from a week of jobs.

Make invoicing a repeatable routine

Pick a regular day to check completed work, handle exceptions and send invoices. Keep the visit record, invoice and payment review connected, so your team is not reconstructing the same week in three places. If recurring visits are the part you still rebuild manually, start with our recurring cleaning schedule guide.
