Job notes guide
How to keep site access details and job notes out of group chats
Keep access details with the site record and put the instructions for doing the work beside the visit. Separate lasting information from changes that apply only today. Before handing over, check that the assigned crew can find the current notes, checklist and access instructions without searching a conversation or asking someone to forward an old message.

Separate lasting details from visit changes
Start by gathering the instructions your team needs whenever they attend the site. Keep the address, access arrangement and standing notes together. Then identify information that belongs only to the next visit, such as a customer's temporary request or a change to the agreed work.
Give each instruction an obvious place. A standing access detail should not depend on finding a message from weeks ago. A temporary request should be checked again before anyone assumes it applies to every future visit.
Write notes for the person covering the job
Use plain wording that makes sense to someone who has never visited before. Describe what the crew needs to do, rather than referring to a conversation they did not join. Ask a team member to read the handover and point out anything they would still need to ask.
- State the agreed way to enter and leave the site.
- Keep the work instructions short and specific.
- Check changed access details directly with the customer.
- Remove an outdated instruction when its replacement is agreed.
Separate the checklist from the background
Use a checklist for actions that need completing, and notes for context that helps the team understand the visit. Long paragraphs are difficult to scan when someone is about to start work. A short action list gives the crew a clear sequence to check.
Keep customer preferences precise. If an instruction affects how a task is done, explain it beside that task. Avoid copying the entire conversation into the handover when only a small part changes what the crew needs to do.
Update the record when instructions change
Agree who is responsible for keeping the standing information current. When a customer changes an access arrangement, update the record the crew will use and make sure the next assigned person knows to check it. Do not leave conflicting versions in circulation.
At handover, open the next visit and read it as the crew would. Check the address, access information and work instructions together. This is also a useful time to remove private details that are not needed for the job.
How JobNest handles this
Available on Growth and up.
In JobNest, the visit brings together Access & Notes, Checklist and Crew. Notes and the access code are saved against the property or address and inherited by each visit. Keep those standing details current at their source rather than relying on a forwarded message.
The crew's mobile access is available on Growth and up. Each person sees visits where they are rostered or assigned. Check the visit record when handing work over, so the people attending can find the instructions alongside the job.
